Quantity History Report

The Quantity History Report shows changes in quantity on hand for each item over time due to sales, returns, inventory updates, and manual quantity adjustments. View the report in BackOffice or export it for analysis in spreadsheet software.

  • The Quantity History Report does not include raw goods as it is for inventory items only.
  • This report provides information for dates on or after December 31, 2017. Information prior to December 31, 2017 cannot be retrieved.

    Run the Report

    From BackOffice, run the Quantity History Report to see how item quantities were affected by sales, returns, inventory updates, and manual quantity adjustments during a specific time period.

    This report provides information for dates on or after December 31, 2017.

    1. In BackOffice, click 'Reports', then select 'Quantity History Report'.

    2. Click the date icon to choose a preset or custom range, then click 'Retrieve'.

      Custom ranges must begin on or after December 31, 2017.

    Read the Report

    The Quantity History Report shows the total count of each item sold, returned, and adjusted, and the value of these changes, over a time period.

    To view individual adjustments and removals, including the date of each event, run the Adjustment History Report.

    Item | Name of the item as it is currently entered in BackOffice.
    Starting Quantity | Quantity in stock at midnight on the first day in the selected range, and the value of that quantity based on the cost of the item at that time.
    Ending Quantity | Quantity in stock at 11:59 PM on the last day in the selected range, and the value of that quantity based on the cost of the item at that time.
    Total Received | Total quantity added to inventory using the ‘Add/receive inventory’ action, and the value of that quantity based on the item cost at the time of each addition.
    Total Returns | Total quantity returned, and the value of that quantity based on the item cost at the time of each return.
    Total Sold | Total quantity sold, and the value of that quantity based on the item cost at the time of each sale.
    Total Removed | Total quantity removed from inventory using the ‘Remove inventory’ action, and the value of that quantity based on the item cost at the time of each removal.
    Total Counted | Total quantity added to or removed from inventory using the ‘Count inventory’ action, and the value of that quantity based on the item cost at the time of each count.
    Total Adjusted | Total quantity added to or removed from inventory using Bulk Management, ‘Adjust Inventory’, ‘Manage Assemblies’, and the ‘Adjust Quantity’ button on individual items, and the value of that quantity based on the item cost at the time of each adjustment.

    1. Click the arrow icon next to an item to view its active variants and their details.

      Items with the arrow icon are items with variants and those without it are basic items.

    2. (Optional) Customize the width and order of the report columns.
      a  To adjust the width of the columns, click and drag the separator between column headers.

      b  To change the order of columns, click and drag them to a different position.

    3. (Optional) Set the page size and navigate between pages.
      a  To adjust the number of items that appear on each page of the report, select a number or ‘All’ to view all items on a single page.

    Export the Report

    View Quantity History Report data outside of BackOffice by exporting it as a .CSV file to analyze in your own spreadsheet software.

    1. Click ‘Export to CSV’ to create a .CSV file of the report.

    2. Click 'Reports' and select 'Export Center'.

    3. When the status of the 'Quantity History' export is 'Ready', click the icon to download it.

    4. After downloading, the export is ready to open in any spreadsheet software.
